Job Description

Job Purpose Program Associate (PA) supports LT kipuka or service centers on all administrative operations, including program support. This position is the first point of contact for families, the community, and partners, playing a vital role in communicating with others and demonstrating our organizational values. The position is also responsible for coordinating business functions, calendar management, meeting and event logistics, and supporting various kīpuka staff as needed. On occasion this position may be required to work at other locations as needed. Kīpuka provide Hawaiian youth with opportunities to connect to caring adults, peers and mentors, receive supportive services, and discover pathways to passion, purpose, and prosperity. Kīpuka are a hub for culture, creativity, healing, technology, and play, and will serve as a resource for kamaliʻi and their ʻohana. These safe spaces are located throughout the pae ʻaina where youth are inspired to pursue their dreams, including exploring pathways in the arts, sports, technology, and entrepreneurship while receiving wraparound support to help them reach their goals and become thriving kamaliʻi. Essential Responsibilities Administrative Support: Responsible for customer service, assisting with incoming calls, messages, and creating a welcoming environment for guests and teammates. Assess the condition of facilities and supports ensuring cleanliness and safety of facilities, with particular attention to child centered spaces. Ensures continuous office coverage. Administrative Support: Oversees incoming/outgoing mail service. Administrative Support: Manage kīpuka key inventory: tracking usage, securing keys in lock box, etc. Administrative Support: Provides direct support to teammates on the following: DayForce, travel arrangements, technical support, filing, Kipuka CRM administration, ELTON, and IT Tech Library system administration. Administrative Support: Responsible for replenishing supplies, processing purchase orders and invoices, and assisting in managing the cleanliness and organization of storage rooms/closets. Administrative Support: Assist with vehicle refueling, logging vehicle mileage for annual reports, and supports the security systems administration. Program Operations Support Ensures the cleanliness and safety of program spaces (on/off site) Attends weekly program meetings, provides logistical support for program activities/events, and supports Hoʻokele administration. Partners with People Operations to request background checks for teammates, contractors, and partners in direct contact with kamaliʻi. Provides program assistance as needed: transportation, program activities, chaperone, and providing access to IT equipment for kamaliʻi. Other Duties Contributes to the Trust’s success by accepting new assignments, helping team members, learning new skills, and striving to improve team and organization results. Contributes to providing a safe environment for teammates and beneficiaries which includes communicating to Manager any concerns regarding facilities and vehicles. Provides transportation for organization related business, participates in continuing education and training opportunities, and supports with referrals to Mālama Line. Qualifications High School Diploma or Associate's Degree Two or more years of administrative experience Warm personality with strong communication skills Proficient knowledge of Mac and Microsoft Office Programs Able to research broad range of topics on the internet Well-organized, detail-oriented, and able to handle in-depth special projects Excellent written and interpersonal skills High level of accuracy when handling paperwork and data entry Capability to meet deadlines and manage schedules effectively Must have a strong personal fit with our non-hierarchical, no ego, strong moral compass, intellectually honest, meritocratic culture.
